Policy snapshot

Short version? We only collect what helps us run secure, useful services and we don’t trade trust for convenience.

3 core data purposes
24/7 monitoring for security events
100% human review for special requests

What we collect, and why it matters

We gather a small set of details to answer enquiries, deliver services, maintain platform security, and understand how people use our site. Why collect more than we need?

VectorPilot AI may collect contact details you send through forms, business information shared during demos, and technical data such as device type, browser settings, page activity, and security logs. We also receive operational information when clients use our AI-powered dashboard automation or reporting services.

That data helps us respond to support requests, improve system reliability, prevent abuse, and produce relevant analytics. When a process can work with less data, we choose the lighter route. Simple as that.

Contact enquiries Name, email address, organisation details, and your message.
Service activity Usage trends, dashboard actions, and reporting preferences.
Security records Authentication logs, device signals, and fraud-prevention events.

How we use information

Every use should be defensible. If a purpose doesn’t support service delivery, safety, legal compliance, or communication, we don’t build on it.

Service delivery

We use data to answer questions, configure dashboards, and keep your operational guidance accurate. Isn’t that the point of a well-run platform?

Protection and reliability

Logs and technical signals help us detect suspicious access, reduce downtime, and maintain a stable environment for clients and partners.

Communication

We may send replies, updates, and service notices. When there’s a material change, we say so plainly.

“Data should work for the client, not against them.” That line guides our internal review process, and it shapes how we design every workflow, from automated reporting to predictive navigation models.

Sharing, processors, and limited disclosures

Who can see the information? Only people and service providers who need it to do a job, and only under appropriate controls. Would you expect anything less?

We may share data with trusted vendors that help us host systems, manage communications, secure infrastructure, or analyse service performance. These providers are expected to protect information and use it only for the services we request. We don’t sell personal data.

We may also disclose information when required by law, to protect our rights, or to respond to legitimate requests from authorities. If a disclosure is needed, we aim to keep it narrow and proportionate.

Infrastructure partners Hosting, storage, and delivery systems that keep services available.
Support access Restricted access for staff handling a specific request or incident.
Legal compliance Disclosures made only when we’re required to comply with law.

Your rights and choices

You may request access, correction, deletion, or restriction where applicable. Want to know what we’re holding and why? Ask us.

Access

Ask for a copy of the personal data we hold about you, along with an explanation of how it’s used.

Correction and deletion

If something’s wrong, tell us. If you want data removed and we can do so lawfully, we’ll handle it.

Marketing preferences

You can opt out of non-essential messages at any time. No hidden steps. No pressure.

Retention, security, and updates

We keep information only as long as we need it for the purposes described here, or for legal and operational reasons. How long is that? It depends on the record type, but never longer than necessary.

Security is layered. Access is limited, records are protected through reasonable technical and organisational measures, and we review our controls as systems evolve. Still, no online service can promise absolute perfection. Anyone saying otherwise isn’t being straight with you.

We may update this policy when our services, legal obligations, or operational practices change. If the update is material, we’ll make it visible and easy to find.

Need help?

If you have a privacy question, send it straight to our team. We’ll route it to the right person and respond as soon as we can.
